DESTINATION WEDDING + EVENT CONTENT CREATION TERMS

Scope of Services

  • The Content Creator (Sarah Parker from Studio Sarker) will capture organic, behind-the-scenes content of the Client’s wedding day or event using an iPhone 16 Pro Max, iPhone 15 Pro Max and handycam. This includes short video clips and photos in a candid, documentary-style format intended for social media use.

  • The Client understands that the Content Creator is not acting as a traditional photographer or videographer and that the content produced is not a replacement for traditional wedding photography or videography.

  • The Content Creator does not direct, pose, or stage clients or guests.

  • Selected package and deliverables are outlined in the invoice. Any changes to the package must be communicated in writing and agreed upon by both parties. The Content Creator will confirm if changes affect pricing, and the invoice will be updated accordingly.

  • Wedding details including date, coverage start time, coverage end time and locations are confirmed by both parties. Any changes must be communicated in writing before the wedding day and approved by the Content Creator. If the wedding runs late, coverage will still conclude at the originally agreed time.

Payment Terms

  • Total fee is outlined in the invoice.

  • A non-refundable deposit of 40% is required to secure the booking. This deposit ensures the Content Creator reserves the Client’s wedding date.

  • The remaining balance is due 30 days before the wedding date.

  • If the final payment is not received by the due date, the Content Creator may refuse service and retain the deposit.

  • All payments are to be made via direct bank transfer or Wise, unless an alternate payment method is agreed upon in writing between the Content Creator and the Client.

  • All payments are to be made in the currency stated on the invoice.

Cancellation Policy

  • If the Client cancels for any reason, the deposit is non-refundable.

  • Cancellations within 30 days of the wedding date require full payment of the remaining balance.

  • If the Client reschedules and provides 14 days or more notice, and the Content Creator is available, payments will transfer to the new date. Additional travel fees may apply for date changes.

  • If less than 14 days’ notice is given, or if the Content Creator is unavailable on the new date, the booking will be cancelled. In this case, the deposit is forfeited and the remaining balance remains payable.

Content Limitations

  • The Content Creator will make every reasonable effort to capture key moments but cannot guarantee specific shots or people.

  • The Client acknowledges that candid content is subject to timing, lighting, weather, venue rules, and the natural flow of the day. Refunds will not be issued for these factors.

  • If the Client ends coverage early, the delivered gallery will be smaller, and no refund will be issued.

Travel

  • Pre-agreed travel fees may apply.

  • If applicable, the travel fee will be outlined in the quote.

Travel Disruptions & Unforeseen Circumstances

  • The Content Creator is not liable for failure to attend or perform services due to travel-related disruptions beyond their control. This includes, but is not limited to, flight delays or cancellations, airline issues, lost or delayed baggage, border restrictions, visa issues, illness, accidents, or government regulations.

  • In the event that travel disruptions prevent attendance, all reasonable efforts will be made to find a suitable alternative solution, including (where possible) rescheduling, partial coverage options, or assistance in sourcing a replacement provider.

  • The Content Creator is not responsible for any resulting loss of coverage, indirect damages, or missed moments.

  • In such circumstances, liability is strictly limited to the fees paid for the affected portion of services not delivered, except where otherwise required under applicable consumer law.

Visas, Work Permits & Legal Compliance

  • The Content Creator is responsible for arranging their own travel documentation, including a valid passport, and making reasonable efforts to comply with applicable entry requirements.

  • The Client is responsible for notifying the Content Creator of any known venue, regional, or country-specific requirements relating to permits, permissions, or vendor restrictions that may affect the provision of services.

  • The Content Creator is not responsible for obtaining special work permits, visas, or permissions required to perform services unless explicitly agreed in writing prior to booking.

  • The Content Creator is not liable for failure to perform services due to visa issues, denied entry, or regulatory restrictions beyond their control.

Force Majeure

  • Neither party shall be liable for failure or delay in performing obligations due to events beyond reasonable control. This includes, but is not limited to, natural disasters, extreme weather, war, civil unrest, strikes, pandemics, government restrictions, airline shutdowns, or other unforeseen events.

  • In such cases, both parties agree to act in good faith to find a reasonable solution, including rescheduling where possible.

Meals

  • For coverage exceeding 4 hours, one meal must be provided to the Content Creator.

  • For coverage 4 hours or under, no meal is required.

  • No content will be captured while the Content Creator is eating.

Editing and Delivery

  • The Content Creator will curate and deliver a gallery of moments captured.

  • Extensive editing is not included.

  • If additional reels are included in the package, they will be edited and delivered within the gallery. Editing may include trimming, sequencing clips, and applying light effects (eg. black & white filters, exposure adjustments, straightening).

  • All content will be delivered via Google Drive.

  • All content will be delivered within 24–48 hours of the wedding date, unless otherwise agreed in writing.

  • If the Content Creator is shooting a multi-day event, delivery will be within 24–48 hours of the final event conclusion time.

  • Delivery may also be impacted by limited or unreliable internet access when travelling, or recovery time after travel. Delays due to these factors do not constitute a breach of contract.

  • The Content Creator will collaborate with the Client to understand their preferred aesthetic and overall vision, and will capture content in alignment with the agreed brief and the Content Creator’s signature style. All content is created with creative discretion, taking into account real-time conditions including lighting, timing, environment, and the natural flow of the event. Final selection and editing of content is at the Content Creator’s discretion.

  • Reels include up to 2 rounds of reasonable refinements, provided they remain within the scope of the original brief and delivered style. Any additional edits, or requests that involve significant changes to structure, style, or creative direction, will incur an additional fee of $50 AUD per edit.

  • The Client acknowledges that content creation is a creative service. The Content Creator does not guarantee subjective satisfaction with creative outcomes. In the event the Client has any concerns regarding the delivered content, both parties agree to communicate openly and in good faith to reach a fair and reasonable resolution that reflects the scope of the agreed service.

  • Reels do not include music.

Content Usage

  • The Client receives personal-use rights to all delivered content.

  • Content may not be provided to magazines, newspapers, or other media without prior consultation with the Content Creator.

  • The Content Creator retains the right to use any content captured for portfolio, website, social media, advertising, and promotional purposes, unless the Client requests otherwise in writing prior to the wedding day.

  • If the Client prefers privacy, this must be communicated in writing prior to the wedding day (via consultation form or email).

Client Responsibilities

  • The Client must inform guests, vendors, and venue staff that a content creator will be present.

  • The Content Creator must have reasonable access to key locations and moments.

  • The Client must inform the Content Creator of any logistical restrictions (eg. parking, access limits).

  • The Content Creator is not responsible for restrictions imposed by venues, planners, or third-party vendors that limit access, movement, or filming opportunities.

  • The Client understands that weather, lighting, crowding, or venue rules may affect the quality or quantity of footage.

  • The Client confirms they have reviewed the Content Creator’s previous work (available on @studiosarker Instagram) and approve of the Content Creator’s style.

  • The Client will provide timely communication and responses.

  • The Content Creator will act as the primary contracted content creator for the event.

File Storage

  • The Content Creator will store all files on Google Drive for 30 days after delivery.

  • After this period, the files may be permanently deleted, and the Content Creator is not responsible for lost or missing downloads.

  • Retrieval of files is not guaranteed, and if possible, will incur an additional fee of $200 AUD.

Liability

  • The Content Creator holds a current Certificate of Currency for public liability insurance in Australia, which can be provided upon request. International coverage may vary depending on location and policy terms.

  • The Content Creator is not liable for failure to perform services due to circumstances beyond their control, including illness, injury, equipment failure, accidents, weather, venue restrictions, or travel disruptions.

  • Due to the nature of international travel, the Content Creator will be working with portable equipment only.

  • The Content Creator is not liable for limitations in coverage due to equipment delays, damage, or loss caused by airlines, transit providers, or circumstances beyond their control.

  • In such cases, liability is limited to fees paid for services not delivered.

  • The Content Creator may appoint a qualified replacement if unable to attend due to emergency or illness. The Client will be notified as soon as possible. Replacement is subject to availability and not guaranteed.

  • Nothing in this agreement limits liability where such limitation is not permitted under applicable consumer protection laws in the jurisdiction where the services are performed.

Safety

  • The Content Creator has the right to work in a safe, respectful, and harassment-free environment.

  • Any form of harassment, discrimination, sexual misconduct, aggression, or unsafe behaviour from the Client, guests, or vendors will not be tolerated.

  • If at any time the Content Creator feels unsafe, harassed, or threatened, they may immediately leave the event without penalty. In such cases:

  • Coverage will end immediately.

  • No refunds will be issued for remaining coverage time.

  • The Content Creator will deliver any usable content captured.

  • The Client will be held responsible for ensuring that guests and vendors maintain appropriate conduct.

These Terms & Conditions are in place to provide clarity around what is included in the service, and to ensure both the Client and Content Creator are aligned and protected leading up to the event.
